Agree one case identifier
Use an identifier across the prescription, record transfer and returned files. Avoid patient names in general business correspondence where an internal identifier will do. Agree an appropriate route for actual case records before transfer.
Name the current record set
Label scans and references by purpose and version. State which files replace previous records. If a bite or reference changes, identify the affected design stage so the team can assess what needs review again.
Consolidate revision instructions
Combine requested changes into one current note and include marked views when useful. Identify unit, view and desired result. Conflicting comments from different people require a decision from the approval owner rather than interpretation by the designer.
Define approval ownership
Identify who can clarify the prescription, approve setup and release manufacturing files. These may be different people. A setup approval should specify the stage and version, so it is not mistaken for blanket acceptance of later outputs.
Carry learning into repeat work
Keep a versioned preference record for software, materials and accepted settings. Note exceptions alongside the case instead of overwriting the general default. Update the record when the lab changes its production workflow.
