Create a record inventory
List prepared arch, opposing arch, bite and any relevant tissue, scan-body or reference records. Name the intended indication and design stage. Confirm that the lab received every required record rather than assuming a portal upload contains the whole case.
Separate capture quality from file availability
A file that opens may still contain missing boundaries, artifacts or an unclear bite relationship. The lab should review whether the records support the requested design. The treating team decides whether additional clinical records or a new capture are needed.
Attach the restorative instructions
Include the prescription, material, tooth positions and any approved references. Implant cases need the exact physical and digital component details. A scanner brand does not identify an implant platform or determine manufacturing settings.
Define the exception route
Agree who receives questions and who can clarify the clinical brief. Record missing information against the case identifier. Replace records deliberately and identify which version is current instead of sending unlabelled attachments across several channels.
Close the loop with production
Confirm what the designer returns and who verifies import and manufacturing suitability. The practice, lab and designer may have different software; test the agreed route before relying on it for repeat submissions. Keep patient records out of a general business inquiry until an appropriate transfer process is agreed.
