Choose the handoff purpose first
3Shape documents complete-order export/import in Dental Manager and a separate scan-export route. A receiver continuing a case needs a different acceptance test from a receiver who only needs scan surfaces to begin an agreed workflow. Ask which role each deliverable serves.
Do not assume that an exported scan contains the same design context as a complete order. Conversely, a complete order that downloads successfully still needs a receiving check. Name the expected continuation task and current installation before the pilot.
Check documented prerequisites
The cited 3Shape scan-export article describes accepted-order status, the TRIOS Scan STL Export dongle option and PLY export availability from Dental System 2021. Its version-specific prerequisites should be checked against the current installed configuration.
For native order exchange, 3Shape documents an unsupported-material-file-version error when an order originates in a newer Dental System version than the receiving installation. Check current vendor guidance rather than editing metadata or assuming a renamed file resolves compatibility.
Use a two-route acceptance record
| Route | What to verify |
|---|---|
| Complete order | Expected case context, receiving version, supported configuration and continuation task. |
| Scan export | Accepted source order, enabled export options, required scan roles and actual saved outputs. |
| Returned design | Correct case/revision, agreed native or surface deliverables and separate review status. |
| Import exception | Exact error, sender/receiver versions and unchanged original package. |
A scan export can still be useful when that is the agreed assignment. It should not be substituted silently for a native return. Changing the route may change what the receiving technician can inspect or continue.
Keep import and restorative approval separate
Illustrative acceptance note: “The returned order imports in the tested receiving setup; the named design revision is available for review.” That confirms a technical step without claiming approval of contacts, component selection or downstream manufacture.
If an import fails, identify the affected package and consult the current support route. If it opens but does not follow the brief, raise a design review with a marked view. Record which kind of exception occurred so future pilots measure the actual bottleneck.
